Cancellation & Refund Policy

At Hadzabe Safari Adventure Ltd., we understand that travel plans can change. Our cancellation policy is designed to give you flexibility while ensuring that we can cover commitments already made on your behalf with lodges, camps, airlines, national parks, transport providers, and other suppliers.vFew destinations on Earth capture the imagination quite like Tanzania. We always encourage our guests to contact us as early as possible if their plans change. 1. Cancellation Requests

Cancellation requests must be submitted in writing by email or another written form of communication.The cancellation date will be the date on which we receive your written cancellation request.Any applicable refund will be calculated according to the cancellation schedule below, after deducting any non-refundable or non-recoverable costs already incurred on your behalf.Few destinations on Earth capture the imagination quite like Tanzania. The cancellation charges above are our standard cancellation schedule. Some services may be subject to stricter cancellation conditions imposed by third-party suppliers.

For example, airlines, lodges, hotels, camps, domestic flights, park authorities, or other suppliers may charge non-refundable fees or cancellation penalties.

Where such costs have already been paid or cannot be recovered, they may be deducted from the amount refundable to the client.If we are able to recover any amount from our suppliers, we will pass the recovered amount to the client, after deducting any applicable unrecoverable costs.

3. Changing Your Travel Dates

We understand that sometimes you do not want to cancel your dream safari—you simply need more time.If you need to postpone your trip, please contact us as soon as possible.

Hadzabe Safari Adventure Ltd. will make every reasonable effort to move your safari to a new travel date, subject to availability.Where bookings can be transferred or supplier credits can be obtained, we will work with you to minimize cancellation costs.Any difference in price resulting from new accommodation rates, seasonal rates, flights, park fees, fuel costs, or other supplier charges will be payable by the client.

Changing your travel dates may be a better option than cancelling your safari.

4. Refunds for Unused Services

Once your safari has started, unused services are generally non-refundable.This includes, but is not limited to:

• • Unused transfers
• • Missed activities
• • Unused safari days
• • Unused flights or other transportation

However, where a supplier provides us with a refund or credit for an unused service, we will make reasonable efforts to pass the recoverable amount on to the client.

5. Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance immediately after confirming their trip.Your insurance should ideally cover:

• • Medical expenses
• • Emergency evacuation
• • Flight delays or cancellations
• • Lost or delayed baggage
• • Personal liability
• • Other unexpected travel disruptions

Travel insurance can provide important financial protection when circumstances beyond your or our control affect your journey.

6. Changes to Prices

Our safari prices are based on the costs available at the time of quotation and booking.Hadzabe Safari Adventure Ltd. reserves the right to make reasonable price adjustments before departure where costs increase due to circumstances beyond our reasonable control, including:

• • National park or conservation fee increases
• • Government taxes or levies
• • Fuel price increases or fuel surcharges
• • Airline or flight price increases
• • Accommodation rate changes
• • Significant currency exchange-rate fluctuations
• • Mandatory supplier or government charges

If a significant price adjustment is required, we will notify you as soon as reasonably possible.

7. Changes to Your Itinerary

We carefully plan every safari, but certain circumstances may require us to change or rearrange an itinerary.These may include weather conditions, road conditions, wildlife or park regulations, flight changes, accommodation availability, government restrictions, safety considerations, natural disasters, or other circumstances beyond our reasonable control.If an accommodation or service becomes unavailable, we will make every reasonable effort to provide an alternative of the same or comparable standard.Where possible, we will discuss significant changes with you before making them.

8. Force Majeure

Hadzabe Safari Adventure Ltd. shall not be responsible for failure or delay in providing services caused by circumstances beyond our reasonable control.

Such circumstances may include natural disasters, extreme weather, epidemics or pandemics, government restrictions, civil disturbances, strikes, road closures, changes in park regulations, flight disruptions, or other force majeure events.In such circumstances, we will make every reasonable effort to assist you, reorganize your arrangements where possible, and recover any refundable amounts from suppliers.

Bank Transfer

Bank wire transfers are also accepted. Our bank details will be provided on your official booking invoice or upon request.Any bank charges, transfer fees, or payment processing fees charged by the client’s bank are the responsibility of the client unless otherwise agreed in writing.

10. Booking Confirmation

Your booking becomes confirmed once the required deposit or agreed payment has been received and the booking has been confirmed by Hadzabe Safari Adventure Ltd.By making a payment, you confirm that you have read, understood, and accepted our Cancellation & Refund Policy and Terms & Conditions.

We know that booking a safari is an important investment.

Our goal is not simply to apply cancellation fees—we want to help you travel to Tanzania whenever possible.

If your plans change, contact us as early as possible. We will always make a reasonable effort to find the best solution, whether that means changing your travel dates, modifying your itinerary, recovering supplier refunds, or arranging suitable alternatives.
